Share Files in Your Team Workspace

With Desmos Professional, teammates can save graphs and notebooks in their team workspace and use shared folders to collaborate more easily and securely at work. Whether you’re just getting started or already have a team, here are some extra resources:

Access Your Team Workspace

To switch to your team workspace, first make sure you’re logged into the account associated with that workspace. Then, open the Account menu Image of the arrow dropdown button. and select the team. You can change your workspace from the homepage or within any of the graphing tools. Or, go to desmos.com/my-worskpaces and click the intended workspace.

Once you select your workspace, you can start creating graphs and notebooks. Any file that you save will be saved to the workspace that you are currently in.

Note: When you switch workspaces, you’ll also see a personal workspace. Any files saved in your personal workspace are only visible to you.

 

Link Access Settings

Teammates can set links to any file or shared folder to Team Only Image of the Team Only view icon. or Anyone Image of the Anyone can view icon. . Only teammates within a workspace can access files set to Team Only. Anyone can access files set to Anyone as long as they have a link.

Default Link Access

From the team dashboard, team owners can click Workspace Settings and then toggle between Team Only and Anyone to set the default link access for all files and folders in a workspace.

If an owner changes the default link access, any file or folder created moving forward will be set to the new default.

Change Link Access

You can change the access settings of any individual file or folder.

When you create a new graph or notebook, click Save and then toggle to the desired setting before clicking Save again.

Or, click More Options Image of the More Options dropdown icon. and then toggle to the setting.

When you want to share a link to any graph or notebook, click Share Graph and then either sharing option. Then, toggle to the desired setting.

When you want to change a saved file or folder, click Open File Image of the Open File icon. and then locate the file or folder. Then, click File Options or Folder Options Image of the Folder Options icon. to toggle to the desired setting.

A folder’s access settings will apply to each file inside it.

 

Saved Work

When you are in a team workspace and select Open File, you’ll find two sections: Shared Folders and My Files.

My Files

The My Files section includes files and folders that only you can access. Graphs and notebooks save to this section by default.

These files are still part of your team workspace, so you can change the link access to Team Only or Anyone. Others won’t be able to see your files until you move them into a shared folder or share a direct link with them.

Shared Folders

You and your teammates can also organize graphs and notebooks using shared folders so that all teammates can access certain examples, templates, resources, and other files. Anyone on your team can add files to shared folders.

To add a new shared folder, click Add Folder Image of the Add Folder icon. . Or, click the New Graph Image of the New Graph icon. dropdown (this button defaults to match the tool you are using). Then, select New Shared Folder and give it a name.

To rename or delete a shared folder, select Folder Options and then Rename or Delete.

If you delete a shared folder, any graphs or notebooks move back to the creator’s My Files section.

To move a file into a shared folder, click File Options and then Move. Then, select the desired folder.

You can also select multiple files by checking each file and then dragging them into the folder. Or, select Move Items.

If you move a file into a folder, its link access settings will update to match the folder’s.
